#24 Management Series - Take charge of your meetings

We all attend meetings and have mix experiences.  Do we understand what it really takes to lead an effective meeting.  Well if you are not sure or curious, here are some guidelines.

First of all, managing team/business/social meetings can be a minefield if you are not prepared and have considered all aspects of this meeting.  So here are a few important points to remember:

  • Determining the purpose of the Meeting: . Why are you having the meeting and want you want to accomplish?
  • Who needs to attend the Meeting: who are must haves and who are optional attendees.  For example, people who are impacted by the decisions taken in this meeting should be inviteed!
  • Meeting environment and Logistics: Conduct your meeting in a location where you and the team members will not be disturbed. Make sure all the equipment, if you are using any, works. Do this before the meeting begins. And if you need any supplies or refreshments, make sure they are also there before the meeting begins.
  • Meeting starts on time:  You want to send a message that everyone's time is valuable. You never want some team members waiting for other team members. A mistake that is often made is starting the meeting when someone important arrives late.
  • Meeting Agenda:  Agenda prepared in advance and distributed is suggested. Each agenda item should have a time frame assigned to it, and it is important to stick to that time frame. When somebody wants to discuss something not on the agenda, this is placed on the parking lot and discussed at the end of the meeting if there is time.
  • Controlling the Meeting: Make sure the meeting is running smoothly. Address any difficult or challenging participant behaviors by referring to the norms.Encourage everyone to participate and create an environment where this can happen.

The points you make for keeping a meeting running smoothly and on time are spot on. Often times a meeting requires input from those participating in order to reach a common concensus. In order to keep on task and on time it is helpful to monitor time while allowing each person the opportunity. The following protocol provides an effective approach:

1. Determine the total discussion time for the topic
2. Count the number of meeting participants (or have a finite number who will speak)
3. Take the time by the number of those speaking
4. The only person allowed to speak has possession of an object (ball/small toy......)
5. The timer allows the person to speak for only the allotted time and can be designated by an obvious sound such as clapping / a buzzer - something that gets the point across while suppporting a cordial ambiance
6. When designated time is reached the object / speaking privileges are passed to the next
7. A person can willingly give up his/her allotted time to anyone else

As with any new protocol it may take time to implement. Sending out the new protocol along with the meeting agenda will help. This technique gives equal ground to the quiet voices and to those who long-winded.

Getting the right meeting time duration can be a challenge especially if there are 7+ people attending the meeting and all may want to add questions etc.

There is also pressure to get the meeting completed asap, so care to agenda item times are important here.

Its like most things in life....good planning and organisation will help keep the audience attentive. Confidence is the key.

The more people attending the more debriefs with some attendees are required to ensure the meeting runs smoothly and meets its objectives.
